SMS Messaging — Client Consent

This page documents how MedSpa Butler collects and manages consumer consent for SMS appointment messages, in compliance with CTIA guidelines and US carrier requirements.
1. About this platform
MedSpa Butler is a business-to-business (B2B) software platform used by licensed medical aesthetics businesses (med spas). The med spa — not MedSpa Butler — is the message sender. MedSpa Butler provides the technology that sends messages on the med spa's behalf, using phone numbers and client information that the med spa provides and controls.
MedSpa Butler does not send marketing messages to consumers. All messages are appointment-related communications from a specific med spa to that spa's own established clients.
2. How clients opt in
Before a client's mobile phone number is entered into MedSpa Butler, the subscribing med spa must collect that client's consent via an intake form. The intake form is completed by the client at the time of their appointment — either as a paper form or a digital form presented on a tablet or device at the front desk.
MedSpa Butler provides a printable intake form (available to med spa owners in the platform settings) that includes the following verbatim consent disclosure, which must be signed by the client before their phone number is entered:

The med spa is responsible for obtaining this signed consent before entering a client's phone number into the platform. MedSpa Butler enforces this requirement at the point of entry: the Add Client form in the platform dashboard requires the operator to check the following acknowledgement before saving a client with a phone number:

This client has provided their mobile number and consented to receive automated appointment text messages from [Spa Name], in accordance with our Terms of Service.
3. Message types and frequency
Once a client is entered into the platform with a valid phone number and consent on file, they may receive the following appointment-related messages from their med spa:
- Appointment confirmation — sent immediately when an appointment is booked. Example: “Hi Ava, this is Glow Aesthetics! Your appointment is booked for 2:00 PM. See you soon! Reply STOP to opt out.”
- 48-hour reminder — sent two days before the appointment, with CONFIRM / CANCEL reply options. Example: “Hi Ava, this is Glow Aesthetics! Reminder about your appointment on 6/27 at 2:00 PM. Reply CONFIRM to confirm or CANCEL to cancel.”
- 2-hour reminder — sent the day of the appointment. Example: “Hi Ava, see you in 2 hours for your appointment at Glow Aesthetics! Reply CANCEL if you can't make it.”
- Post-visit follow-up — sent 24 hours after the appointment to encourage rebooking. Example: “Hi Ava, thanks for visiting Glow Aesthetics! It's a great time to plan your next visit — reply here and we'll help you book. Reply STOP to opt out.”
- Satisfaction check (optional, for locations that enable it) — sent 1–14 days after a completed appointment to collect private feedback. Example: “Hi Ava! How was your visit at Glow Aesthetics? Reply YES if you loved it, or NO to share private feedback with us. Reply STOP to opt out.”
Message frequency: typically 4–5 messages per appointment. Clients who do not have an appointment scheduled will not receive messages.
4. Opt-out and help
- To stop messages: reply STOPto any message. You will be immediately unsubscribed and will receive a confirmation: “You have been unsubscribed and will receive no further messages. Reply START to resubscribe.”
- For help: reply HELPto any message. You will receive: “For help with your appointment, contact your spa directly. Reply STOP to unsubscribe.”
- Message and data rates may apply.
- Consent to receive text messages is not a condition of any purchase or service.
5. No third-party sharing
Mobile opt-in information, phone numbers, and messaging consent will not be shared with third parties or affiliates for marketing or promotional purposes. MedSpa Butler does not sell or transfer SMS opt-in data or consumer consent records to any third party.
